2. How We Use Your Information
2.1 Service Delivery
We use client information to assess operational needs, develop and deliver solutions, access and optimize business systems and platforms, communicate about project progress, and deliver reports, documentation, and strategic recommendations.
2.2 Team and Contractor Management
We use team member and contractor information to evaluate applications, onboard new team members, process payments and compensation, track time and project contributions for billing and accountability, create training materials and standard operating procedures, manage performance and provide feedback, and comply with tax and legal obligations.
2.3 Communication
We communicate with you to respond to inquiries, send service-related updates and notifications, provide project updates and reports, and send invoices and payment confirmations.
With your consent, we may also send marketing communications including newsletters with business insights and operational best practices, educational resources and guides, service updates and new offerings, and anonymized case studies and success stories. You may unsubscribe from marketing communications at any time using the unsubscribe link in any email.
2.4 SMS and Text Communications
If you opt in to receive SMS or text message communications from us, we may send appointment reminders, service notifications, and marketing messages. Message frequency varies. Message and data rates may apply. You may opt out at any time by replying STOP to any message. Reply HELP for assistance. Your consent to receive SMS is not a condition of purchasing any service.

These tools currently include but are not limited to Claude (Anthropic), ChatGPT (OpenAI), Grok (xAI), and Midjourney.

All service providers are contractually required to maintain confidentiality and use your information only to provide services to us. We maintain data processing agreements with key providers where required by applicable law. A complete and current list of service providers is available upon request.
5.2 Subcontractors
When we engage subcontractors to assist with client services, we share only the information necessary for them to perform their work. All subcontractors are bound by confidentiality agreements.
5.3 Legal Requirements
We may disclose your information when required by law, regulation, legal process, or government request, or when we believe disclosure is necessary to comply with legal obligations, protect our rights, property, or safety, protect the rights of our clients or others, or prevent fraud or security threats.

Access is provisioned on a need-to-know basis and revoked promptly upon engagement completion or team member departure. We never store client credentials in plaintext or unsecured locations.
6.3 Limitations
While we implement reasonable security measures, no digital system is completely secure. We cannot guarantee absolute security of information transmitted over the internet or stored electronically. You acknowledge and accept this inherent risk when providing information to us.
6.4 Your Responsibility
You are responsible for maintaining confidentiality of any passwords or login credentials you create, notifying us immediately of any unauthorized access or security breach, and using secure networks when accessing our services or systems.
7. Data Breach Notification
In the event of a data breach that poses a real risk of significant harm to individuals:
Canada (PIPEDA): We will notify affected individuals and the Privacy Commissioner of Canada as required under PIPEDA's mandatory breach reporting regulations, and take steps to reduce the risk of harm.
EEA/UK (GDPR): We will notify the relevant supervisory authority within 72 hours of becoming aware of a qualifying breach. We will notify affected individuals without undue delay where the breach is likely to result in a high risk to their rights and freedoms.
United States: We will comply with applicable state breach notification laws, including notifying affected individuals within the timeframes required by their state of residence.

Former Clients: Contact information for 7 years after engagement ends or until you request deletion. Project documentation and financial records for 7 years as required by law.
Team Members and Contractors: Employment/contractor records for the duration of engagement plus 7 years (legal/tax compliance). Time tracking data and screen captures for 12 months after engagement ends. Performance data for the duration of engagement plus 3 years.
Applicants: Application materials for 12 months after application, or until you request deletion.
Prospects and Newsletter Subscribers: Contact information until you unsubscribe or request deletion. Website analytics data for 26 months.
Marketing Communications: Removed within 5 business days of an unsubscribe request.
After retention periods expire, we securely delete or anonymize your information. You may request earlier deletion subject to our legal obligations (see Section 10).
10. Your Privacy Rights
Depending on your location, you have some or all of the following rights regarding your personal information:

11. Monitoring and Screen Capture Disclosure (Team and Contractors)
As part of our operations, we use time tracking and activity monitoring software for team members and contractors. This software may collect:
Hours worked and time on tasks
Activity levels (keyboard and mouse activity as a percentage)
Periodic screen captures during tracked work time
This data is used for billing accuracy, project accountability, performance management, and ensuring quality of service delivery to our clients.
Screen captures are stored securely and access is limited to authorized personnel. Team members and contractors are informed of monitoring practices during onboarding and consent is obtained as part of the contractor or team member agreement.

12. Encrypted Messaging
We use Signal for certain business communications. Signal is an end-to-end encrypted messaging platform. Messages sent via Signal may be configured with disappearing message timers. Messages set to disappear will not be retained by us after the specified period. Important business decisions or approvals should be confirmed through more permanent communication channels such as email.
13. International Data Transfers
AbsoluteOps is based in Surrey, British Columbia, Canada. If you are located outside Canada, your information will be transferred to and processed in Canada.
For EEA/UK Users: Canada is recognized by the European Commission as providing an adequate level of data protection. Your information is protected under Canadian privacy laws (PIPEDA), which meet EU adequacy requirements.
For US Users: Your information is processed in Canada under PIPEDA, which provides strong privacy protections. Where our service providers process data in the United States, we ensure appropriate safeguards are in place.
For Other International Users: By using our services, you consent to the transfer of your information to Canada and processing under Canadian privacy laws.
Some of our third-party service providers may process data in jurisdictions outside of Canada, including the United States.
